Is Accounts Receivable Draining
Your Cash Flow?

Making a sale is very important. But collecting the money
for the sale is even more important. It does not do any
good to sell a product if you don't collect your money.

In fact, you can ruin a business real fast if you neglect
the all-important step of making sure you are collecting the
money for what you sell.

I had the President of a national association of small
business owners tell me a story about one of their members
that really highlights this point.

One of their members started a service business catering to
large health care institutions.

She would provide a trained staff of people to perform
services that the institution would otherwise have to hire
employees to perform. She provided a turnkey service that
would help improve the service levels while at the same time
save the institution money.

After she got her first contract, she began the process of
recruiting, interviewing, hiring, creating an extensive
training program, training the new hires, etc.

This took about three months to complete.

After her team was in place and trained, they began
providing the service. She sent her invoice to the
institution after the first month of services had been
provided.

After a couple months went by she got a really big surprise.

It turns out this institution held invoices from suppliers
for at least 120 days before they paid them. In fact, it was
somewhat of an industry practice. She was now almost seven
months into her new business and she had not even collected
the first dollar of revenue.

She had been spending money all this time not realizing
there would be this huge delay in actually collecting her
money.

Unfortunately, she ran out of cash.

When she started the business she thought she would be able
to get everything going faster and she thought she would be
able to do it a little cheaper.

But the really big surprise came when she realized the hard
way that creating a sale and collecting the cash doesn't
always happen at the same time.

A Sale is Not a Sale Until the Cash Is Collected

I worked with another business owner who had recently sold
about $18,000 of merchandise to two different commercial
accounts. He had basically hit a home run by winning these
two new commercial accounts.

He was feeling really good about the sales and about finally
breaking into this untapped market.

And his income statement looked really good in the month he
made the sales. In fact, it showed he had the best month in
the store's history.

What he had not realized until now was that these sales were
actually hurting his cash flow.

Not only had he never collected the $18,000, he had already
paid for the inventory he sold them.

To make matters worse, this uncollected sale was happening
at a time of the year when he could least afford to be
without the cash. The sale looked good in the income
statement, but not so good in his cash flow.

The Key is to Manage Accounts Receivable Closely

He learned a very important lesson about selling to
commercial accounts.

He learned that selling something and collecting the money
are two different things. He created new standards for how
these sales would be handled in the future.

Each invoice for a commercial sale would have a specific due
date on it.

He began talking to his commercial customers about his terms
very early in the selling process. Having this worked into
the selling process early on helped him make sure his
invoice would get processed timely once it was sent to the
company.

He also decided to begin a proactive process for calling to
check the status of an invoice within seven days of sending
it.

He would have his bookkeeper make frequent calls to check
status of any outstanding invoices so he could aggressively
work outstanding invoices before they could become a
problem.

He also planned to make sure he understood the full cash
flow impact of accepting large orders.

He now recognized that it was very important to know that
you have sufficient cash flow to handle the up-front cash
commitment required to take on a big new order from a
customer.

Make Sure You Get Paid What is Owed You

If you invoice your customers, you have no choice but to
make sure you actually get paid for every dollar you
invoice.

You must make this is one of your highest priorities so
that you get paid every dollar that is due to you.

This is a critical aspect of your business that you can't
afford to ignore.

Excel

In Excel, one of the cells in a worksheet is always the
active cell. The active cell is the one that's selected and
it displays with a thicker border. Its contents appear in the
formula bar.

You can also select a group (or range) of cells by clicking
and dragging the mouse over them. When you issue a
command that does something to a cell or a range of cells,
that something will be done to the active cell or to the selected
range of cells.

The selected range is usually a group of contiguous cells,
but it doesn't have to be. If you hold down the Ctrl key while
you click and drag the mouse, you can select more than one
group of cells.

What If...Reflecting On Chemicals Going Into Your Body
PART 2 of 5

As human beings we will do a lot to avoid our pain and move
towards or restore our pleasure. Thus we seem to be caught in a
culture of chemical "support" and think little about the
negative results we might encounter. I am speaking of drugs that
move you from pain, anxiety, and suffering to happiness, health,
and wellness. And most people think drugs can help them achieve
this goal. Yet these same people choose to believe that alcohol,
smoking, and other "recreational drugs" might not be the best
for them. They make a conscious effort to eliminate from their
environment. Governments go to great lengths and spending in ad
campaigns to show how cigarettes and alcohol are unhealthy for
your body. They let you see some gruesome side effects.

What we don't seem to get is that any kind of chemical might
also be a problem. And that could include your medications!
People don't seek help when they are well. They seek it when
they get to a level of discomfort where they can't cope: they
need or want relief from their symptoms. They want to restore
their wellness. I had an interesting request a short while ago.
Someone wanted to know how I defined health and wellness. Here
is how Mosby's describes "health" as a condition of physical,
mental, and social wellbeing and the absence of disease or
rather abnormalities. (Mosby 5th Edition page 732) It describes
"wellness" as a dynamic state of health in which an individual
progresses toward a higher level of functioning, achieving an
optimum balance between internal and external environments.
(Mosby 5th Edition page 1728) It turned out to be another
student assignment! Frankly, I was glad to help with that one as
it showed a very progressive teacher.

It is my personal opinion that most people want health and
wellness although I suspect a tiny group need their symptoms to
maintain their lifestyle. So when people contact us it is
because they aren't happy with their state of wellbeing.
Out of curiosity, they seek explanations for their symptoms. And
here is the most interesting part...many people recognize that
alcohol, caffeine, and nicotine may all be harmful but they are
also told to add white flour and sugar on that "forbidden list".
Ironically they are then given an anti-hypertensive or
anti-depressant or anti-cholesterol medication. The point is
that everything on this forbidden list is suspected to add
chemicals to their bodies. And as you learned in high school
chemistry, chemicals added to chemicals equal potential
problems. And drugs are chemicals, too.

Eloise Henry, age 18 when the story began, and
David Wylie, age 20, were selected, by a
stranger in town, to take a dangerous trip, together.
The idea was that each was to take only the clothes
on their back, and go anywhere in the world where
the stranger took them. They were to be left there
to find their own way home. They had no money,
no identification, and no idea where they were.

Upon their safe return there was a million dollars
waiting in their bank account for them. If one did not
make it that money would go to the survivor. If neither
made it the money would go to their families.

The story deals with their adventures along the way
and leads into the only way they could survive. That was
for Eloise to learn higher law and commit her life to
that end. Along the way she learns how to perform
many a miracle.

The story leads to many friends, many adventures

"That does sound interesting. So you like living
by higher law?" said Sam.

"Oh! Sam! It's wonderful. I can't imagine what I
was doing all those years thinking material goods
were important. What Mae and I are doing is the
most exciting and wonderful thing that has ever
happened to me. I'll never forget that wedding and
the wonderful gift Jesus gave all of us." was
Sue's answer.

"Good. I'm glad. It was time something came about
to keep you busy. We miss you and your daily
visits for coffee." replied Sam.

"Oh! That's sweet of you Sam Henry." responded
Sue.


In the village where Mae lived things were pretty
much the same. When Mae arrived at her hut she was
overcome with nostalgia. She liked it here in the
village.

The first one to see her was her grandson, little
Maz. He came running up to her and jumped into her
arms. The pair of them hugged for a long time.

Mae's heart was beating fast. It was good to be
home. She walked over to Pam's and Davids. There
Pam saw her and came running. The two of them
hugged.

Then little Mae Eloise wanted a hug too.

Mae was overcome with emotion. My how deeply she
loved these people.

"Where's David?" she asked.

"He's down at the carving site. They're working on
something all the time. It keeps David busy. He
will be home in a coupld minutes. He gets hungry
about this time. I already sent him a message that
you are here. Please sit and tell us all about
your trip. Would you like something to drink?"
asked Pam.

"Yes, please. This living by higher law is
certainly internesting and much more fun than the
old way. How are you making out with it Pam?"
asked Mae.

Pam brought a drink of fruit juice for Mae. "I am
doing just fine with it Mom. While you were away I
went to visit my folks in Pinehill. They were
surprised, but they have learned to keep quiet
about higher law, if they want to see me. I find
life so much easier and so much more peaceful."

"That's right. I do too. I find I don't have to
worry over anything. I know I will be fed. I know
I will have what clothes I need. I know I will be
sheltered. I have need of nothing. It is
wonderful."

Mae saw David coming toward them. She jumped up
and went to give him a hug.

The pair of them hugged for a long time. It had
been a while since Mother and Son had seen one
another.

":How are you doing Mom. I missed you, and so did
the kids. I kept track of you once in a while, but
sit and tell us about where you were and what you
were doing."

Mae sat with the rest of them around the cook
fire. She told them of all her adventures in China
and about the people she met. She almost enjoyed
telling about it as much as the actual being
there. Mae loved China. She like the people, the
land and the climate.

"That sounds like you had a good time. How is
Susan making out with higher law? I think it came
upon her as a bit of a surprise" asked Pam.

"It did surprise her but she has taken to it like
a fish to water. She is right at home with higher
law and she too loves China. We are both going
back after we spend a couple days at home."

While the conversation was going on Pam was
preparing a noon meal. She served the kids and
then the adults. The kids stayed around home, not
only because it was time to eat, but this was the
first time they had seen Grandma for a long time.
